Job Description

General Responsibilities Include:

  1. Accounting

     a. Monitor program budgets against profit goals

     b. Maintain costing sheet

     c. Create/maintain program invoices

     d. Maintain vendor program payments

     e. Create/submit all program check requests

     f. Process all client credit card payments

     g. Proof /submit all staff invoices

     h. Request, track and reconcile all program cash

 2. General Knowledge

     a. DMC Industry knowledge

     b. Denver, Colorado Springs and Mountain knowledge

     c. Attend trade shows, industry meetings and participate in other networking functions

3. Leadership

     a. Display patience

     b. Use active listening

     c. Delegate, as appropriate

     d. Resolve conflicts/issues with professionalism and diplomacy

 4. Personnel

     a. Book/confirm event staff

     b. Inform event staff of all necessary program elements verbally, via email and through paperwork  

         or SOS

     c. Supervise onsite event staff

 5. Transportation

     a. Create arrival/departure manifests

     b. Manage shuttle schedules and coach allocations

     c. Book all transportation

     d. Confirm/reconfirm all vehicles

 6. Vendors

     a. Book all required vendor services

     b. Communicate client needs and expectations to vendors

     c. Review supplier bills for accuracy

     d. Maintain relationships with vendors and venues

 7. Additional Skills

     a. Support the Operations Coordinator, Director of Operations and Sales Team

     b. Detail oriented

     c. Able to multi-task

     d. Proficient use of Microsoft Excel

     e. Excellent written and verbal communication skills

Desired Skills & Experience

General Qualifications:

- Previous DMC or Event Management experience a plus, but not necessary

- Detail oriented and ability to troubleshoot and solve problems quickly

- Excellent verbal and written communication skills

- Ability to prioritize and multi-task are essential

- Available to work evenings and weekend
